The Harding University Post Office, located on the first floor of the Hammon Student Center, provides mailing services on and off campus. It is run by a friendly staff dedicated to meet your postal needs.

We provide all postal services including Express, Priority, First Class, certified, registered, insured, mailing of letters, parcels and tracking.  We offer Western Union money orders and money transfer as well.  Please note our services and requirements:

Barcodes

Departmental mail received by the Contract Postal Unit (CPU), to be metered, must have a printed barcode slip attached.  This ensures the correct account will be charged.

Sealing         

The CPU offers envelope sealing service.  Our machine can seal across the top but side sealing is not available.  If your mail is to be sealed only (without postage added) please bring it to our attention either orally or by flagging with the pink sign provided inside our drop off window. 

Pickup      

Pick up service is available for two or more trays of outgoing mail.  Call the CPU at extension 4694 to arrange pick up of your mailing.

Cut-Off Time for Departmental Mail

Cut off time for submitting barcode mail is 3:45.  However, you can drop stamped mail in the drop slot until 4:00 in order to make the afternoon pickup by USPS.  If barcode mail is dropped in the mail slot after 3:45, it will be returned the same day via your campus mail box.  Under terms of our contract with USPS we are not allowed to hold mail overnight. 

The CPU is closed on ALL Federal holidays.  Please do not drop letters off with barcode slips attached when we are closed.

Stamps

For your convenience stamps may be purchased using your postage barcode.  We suggest each department purchase a roll of stamps to keep in your office.  For example… 1) if it is past the cut off time (3:45 P.M.) for barcode mail, you can use your stamps and still send your mail out that day.  Or 2) if our mail machine is down and we are unable to process outgoing barcode mail you can use your stamps.

USPS Tracking

USPS Tracking is now included automatically at no additional cost on Standard Post (previously Parcel Post) and Priority Mail.  USPS Tracking may be purchased for Media, Library, and First Class Mail packages for an additional fee.

Priority Mail

Priority mail includes $50 insurance and also provides a tracking number included with the purchase price.  This information is printed on the receipt for your record. If a package weighing 13 ounces or more is left in the window, it will require priority postage and the USPS tracking service.  We will put a form in your campus mail box providing you with a tracking number and reference information from the package.  Priority supplies are free of charge.  If you regularly mail priority packages, you may pick up priority packaging supplies and a pad of tracking numbers to keep for your convenience.  Flat rate boxes are not necessarily cheaper.  Lighter weight items should be used in a regular priority box and heavier items should use a flat rate box to be most cost effective.

International Mail

International mail requires the country name written in all CAPS on the last line of recipient address.  The return address must be on the front side of the mail piece.  A customs form is not required for First Class or Priority mail international flat rate envelopes if weight is less than 16 ounces, no more than ¾ inch thick and contains only documents.

The CPU is no longer allowed to originate International mail or APO packages which require a custom.  This service is provided by the Searcy Post Office, or may be processed online.  If processed online, the CPU can accept your mail piece.  This change was made by the USPS based on a national security ruling in compliance with the Border Customs Regulations.  Visit USPS website at http://usps.com/.  The website will guide you through the process of calculating postage, printing a label, creating the proper customs, and payment of postage.  If USPS website is used, the customer will be required to create an account with a username and password.  The department will need a credit card, name of the card holder and an address for billing.

Cash Only Policy

The CPU has a cash only policy, however, personal checks are accepted from Faculty and staff.

Unacceptable Mail

Odd shaped or rigid items (pens, clips, name tags, keys, etc.) are not allowed to be mailed in letter envelopes; a padded envelope must be used.  The Bookstore stocks a variety of padded envelope sizes.

Plus-4 Change

Harding University’s plus-four zip code has been changed to 72149-5615.

Postage Due

We receive mail with postage due each day.  If your department does not want to pay for postage due mail, please send an email to keep on file in our office.

Money Orders

The CPU sells ONLY Western Union money orders.  The fee is $1.50 regardless of the value amount requested.

Campus Mail provides limited delivery of large parcels addressed to university student and departments from USPS, FedEx, UPS and DHL.

Delivery/Pickup Locations

There are three delivery and pickup locations on campus; Postal Services, Bookstore and the Stock Room.  When sending an item out from the Post Office, utilizing a call tag, please promptly bring the item to Campus Mail. 

Notary Services

Notary services are provided at no cost.  If you have a need for this service please contact Randy Smith at Ext. 4047/4731.

Intra-Departmental Mail Delivery Confirmation Service

If delivery confirmation is required, bring the mail piece(s) to the Campus Mail customer service window.  You will be required to complete a short, simple, form.  When the mail piece is delivered you will be sent signature confirmation via your departmental box.  All personal cash/checks should be mailed through Campus Mail utilizing our Delivery Confirmation process.  (This does not apply to checks being mailed from university departments).

Checks

All checks should be hand delivered to a postal employee.  Do not place in drop box!

Authorization for Intra-Campus Mass Mail Distribution

Requirements: Approval must be obtained prior to material being printed and cut. A three days’ notice is required. 

Mail Returned to Campus Mail

Mail returned from a department to Campus mail should not have writing on the mail piece.  The United States Postal Services has requested Harding University discontinue writing on returned mail.   We request returned items be delivered with a note attached to the mail piece identifying the problem and suggested corrective action.

Harding University Departmental Boxes

Faculty/staff should be reminded that all incoming departmental mail processed by Campus Mail Services must be University-business related.  Departmental Mail is directed to the box number indicated on the mail-piece regardless of name.  Personal mail and packages should not be addressed to departmental boxes.  Since these boxes are for departmental use only, mail cannot be forwarded from a departmental box.

Changing Your Departmental Address

A change of your campus location must be acted upon promptly.  If an employee transfers to a different department or leaves the University, please inform Campus Mail of the necessary Banner changes to be made.

FedEx

Campus Mail no longer manages the university’s FedEx account.  For FedEx shipping, services and questions, contact Bill Spear in Travel.  If your FedEx package is small enough, please place in the FedEx drop-box. This box is located immediately outside the Bookstore exit located next to the parking lot.  If your FedEx package is too large for the drop-box, please bring to our Campus Mail customer service windows.  We will give your package to the appropriate carrier.  (NOTE: We are not a FedEx shipper; this is a courtesy service only).

What we offer

The Mailing Center offers creative solutions to meet your bulk mailing needs.  As an automated mailing center we can take your printed materials and provide you with several mailing options:

  • We can automatically print your Excel mailing address list and presort (barcode) your mail.  Presorting can save substantial postage costs over a First Class mailing.
  • We can take your unfolded materials and insert them (up to five pieces: 2 full size sheets and 3 smaller pieces) into an envelope and seal them – all done automatically.
  • We can take your flyers or brochures and automatically tab them.
  • We will prepare your bulk mailing and deliver to USPS.
  • In addition, we do not charge Harding Departments for our services’.  We only charge for the postage, which will be billed to your account.

What steps do I take to get my mail out?

Please remember that all mailings must FIRST be approved by Public Relations (279-4316).

Before
you plan your mailing please call us!  We can save you time and frustration in offering our expertise in the best way to get your mail out smoothly and quickly.  We can help you decide things like...
  • The size of mail piece can be automated versus hand stuffed.
  • How to set up your materials to gain a cheaper postage rate.
  • How to avoid wasting printing costs for mail pieces that will not meet USPS mailing regulations (and thus having to reprint).
  • The type of paper which will automate best and which type will not.
Fill out, sign and send your Work Request Form as soon as possible so it can be placed on our calendar.  (Be sure you have the latest Work Request form.  Download the "Work Request Form" on the front web page.).

Send your Excel Mailing List to mailingcenter@harding.edu (Download “Creating a Mailing List in Excel” on the front web page).

Be sure to indicate to HU Press where you want your printed materials sent, otherwise it will be sent to your department.  Generally, we prefer to receive the materials directly from HU Press unless you intend your mailing to go out more than two weeks after delivery.  If this is the case, please have the materials sent to your department.  We do not have the space to store materials long term.

Important mailing tips

We cannot begin your bulk mailing job until we have three things:

  • A completed and signed Work Request
  • The print materials
  • An Excel Address Mailing List

Once we have these three things we require three working days to complete a mailing job.  If the job is more complex, or the Mailing Center calendar is already full, it may take longer.  It is your responsibility to ensure the Mailing Center has the three items listed above.

When sending the Mailing List; the Domestic, Foreign and Campus lists must each have their own page.  They do not have to be three separate Excel files, rather create three different pages in one Excel file.

Do not worry about pre-folding materials; we can automate.  In fact, it is generally quicker to have HU Press deliver your raw materials directly to the Mailing Center.

NOTE: Material quality does affect our machines – warped envelopes, sheets, and inserts not only make a job more difficult for our machines, but can also damage them.
